Public Notice Coordinator

BridgeTower Media is seeking a Public Notice and Advertising CoordinatorThe Public Notice and Advertising Coordinator provides excellent customer service to public notice clients as well as advertising clients and event attendees. This role supports various departments – sales, editorial, events and requires excellent written and verbal and organization skills and the ability to learn new systems and complete tasks accurately on deadline.

What skills does the job require?

  • Proficiency at proofreading through remarkable attention to detail and ability to hit daily deadlines
  • Articulate and professional in communication with many clients
  • Strong typing skills (50 WPM minimum)
  • Basic computer knowledge
  • 1–3 years general office and data entry experience
  • The work in this position is tedious. You must be focused and exhibit exceptional efficiency in process and proofreading.

What will you be Responsible for?

  • Public notary in order to notarize public notice affidavits.
  • Providing excellent customer service to all clients by phone, email and in person.
  • Working closely with the Studio BTM public notice team taking payment, and all other duties as assigned.
  • Printing affidavits to be signed and notarized then mailed to clients.
  • Pulling public notice billing.
  • Backing up the Public Notice and Advertising Coordinators in Maryland and Pennsylvania in the event of time off.

Event Duties:

  • Pre-event duties and event day assistance to ensure guests and winners have a great experience.
  • Working closely with the event manager and special products editor to follow up on nominations, encourage applications and letters of reference and follow up to honoree photo and content submissions by the deadlines.
  • Coordinating mailing efforts.
  • Coordinating marketing efforts through Studio BTM as assigned by the event coordinator and publisher.
  • Assisting with growing nominations, sponsor sales and ticket sales through LinkedIn, phone calls, emails, etc.

Advertising Duties:

  • Provides support to the publisher and sales team to help with client deliverables, contract renewals, client requests, mailings, follow-up and other needs as they arise.
  • Pulling reports from Launch Pad, updating protected and draft list and keeping the special products / events lead document up to date and assigning accounts.

Editorial Duties:

  • Entering/processing data for publication in RBJ and The Daily Record.
  • Updating business calendars for publication in RBJ.
  • Assisting special products editor with event winner photos, bios and other assets as needed.
